Return & Refund Policy

At Vakoda, we want you to feel confident when shopping with us. If you are not satisfied with your purchase, we offer a clear and straightforward returns process.

Please read the following policy carefully before requesting a return.

Return Window

You may request a return within 14 days of receiving your order.

Once your return request has been approved, you should send the item back within 7 days, following the return instructions provided by our customer service team.

Please do not send the item back before receiving return confirmation and instructions from us.

Return Conditions

To be eligible for a return, the product should be returned in suitable condition.

Where possible, please return the item with:

  • Original packaging
  • Included accessories
  • User manuals or printed materials
  • Order information or proof of purchase
  • Any protective packaging originally included with the product

The product should not be:

  • Damaged intentionally or through misuse
  • Modified, repaired, or disassembled without authorisation
  • Returned with missing key accessories
  • Used in a way that goes beyond normal inspection or testing
  • Packed in a way that may cause damage during return shipping

If the returned product is damaged, incomplete, or shows signs of misuse beyond normal inspection, this may affect the refund amount.

Change-of-Mind Returns

If you are returning a product because you have changed your mind, ordered the wrong item, or no longer need the product:

  • Return shipping costs are the responsibility of the customer
  • The product must be returned safely and securely
  • We recommend using a tracked shipping service
  • Please keep the return shipping receipt until the return has been completed

Vakoda is not responsible for return parcels that are lost due to incorrect shipping, missing tracking, or failure to follow the return instructions provided by our customer service team.

Damaged, Defective, or Incorrect Items

If your item arrives damaged, defective, or different from what you ordered, please contact us as soon as possible at support@vakoda.com.

Please include:

  • Your order number
  • A clear description of the issue
  • Photos or videos showing the problem
  • Photos of the packaging, if the parcel arrived damaged

Depending on the situation, we may offer:

  • Troubleshooting support
  • Replacement parts or accessories
  • A replacement product
  • A refund or partial refund
  • Return instructions, if the item needs to be sent back

If the issue is confirmed to be caused by product damage, a defect, or an error on our side, we will provide a reasonable solution in line with the circumstances and applicable consumer rights.

How to Request a Return

To register your return, please email us at support@vakoda.com before sending anything back.

Please include the following information:

  • Your order number
  • Your full name
  • The email address used for the order
  • The delivery address used for the order
  • The reason for return
  • Photos or videos, if the item is damaged, defective, or incorrect

After reviewing your request, our customer service team will confirm whether your return is approved and provide the correct return instructions.

Packaging Your Return

Please pack the product carefully before sending it back.

To help prevent damage during transit:

  • Use the original packaging where possible
  • Place all accessories securely inside the parcel
  • Remove or cover old shipping labels
  • Use enough protective material to prevent movement inside the box
  • Attach the return label or return information clearly, if provided
  • Do not send the product back in damaged or unsuitable packaging

You are responsible for ensuring that the returned item is packed safely.

If the product is damaged during return shipping due to poor packaging, this may affect the refund amount.

Sending the Return

Once your return has been approved, please follow the return instructions provided by our customer service team.

When sending the return:

  • Use the return address provided by our customer service team
  • Do not return the parcel to the original sender address unless instructed
  • Use a tracked shipping service where possible
  • Keep your proof of postage and tracking number
  • Share the tracking information with us if requested

Returns sent without prior approval may be delayed, refused, or not eligible for a refund.

Refunds

Once we receive your returned item, we will inspect it and notify you of the refund result.

If your return is approved, the refund will be issued to the original payment method where possible.

Refunds are usually processed within 5 working days after the returned item has been received and inspected.

Please note:

  • Your bank or payment provider may need additional time to post the refund to your account
  • Original shipping fees, if any were paid, may not be refundable unless required by applicable law
  • Deductions may apply if the returned item is damaged, incomplete, or shows signs of misuse beyond normal inspection

Order Cancellations

If you need to cancel an order, please contact us as soon as possible at support@vakoda.com.

We will do our best to help if the order has not yet been processed or dispatched.

Because orders are processed quickly, cancellations may not be possible once the order has been dispatched. If your order has already shipped, you may request a return after receiving the package.

Exchanges

We do not guarantee direct exchanges for every order.

If you need a different item, replacement part, or support with an incorrect or defective product, please contact us at support@vakoda.com with your order number.

Our customer service team will advise the best available solution based on your situation.

Non-Returnable Situations

A return or refund may be refused or reduced if:

  • The return request is made after the 14-day return window has expired
  • The product is returned without prior approval
  • The item is missing important accessories or parts
  • The product has been damaged through misuse or improper handling
  • The product has been modified, repaired, or disassembled without authorisation
  • The return parcel is lost because the customer used an untracked or incorrect return method
  • The product is returned in a condition that prevents resale or proper inspection

This does not affect any statutory consumer rights that may apply in your country or region.

Taxes, Duties, and Customs Fees

For the original delivery of your order, applicable taxes, import duties, customs clearance fees, and standard shipping costs are included in the checkout total.

After placing your order, you will not need to pay any additional delivery-related charges to receive your package.

For returns, please follow the return instructions provided by our customer service team to avoid unnecessary delays or incorrect customs handling.
